UMFA is hiring a full-time, permanent Administrative Assistant (Records)

The University of Manitoba Faculty Association (UMFA) is a labour union representing over 1,300 academic staff at the University of Manitoba. We are hiring a full-time, permanent Administrative Assistant whose primary responsibility will be liaising with UMFA Members and maintaining the Association’s records.

The Position

Reporting to UMFA’s Executive Director, the Administrative Assistant (Records) is responsible for coordinating meetings, maintaining the Association’s Member records, and along with other UMFA administrative staff assisting with the general administration of the UMFA office. Your specific duties will include:

  • Greeting UMFA members and members of the public who contact the Association by telephone, email, and in person;
  • Handling requests for information or referring requests to the appropriate person;
  • Organizing the Association’s meeting agendas, documents, and minutes, and maintaining committee records;
  • Maintaining membership lists and other records, both electronically and in hard copy; and
  • Other duties as assigned.

This position requires the utmost professionalism and ability to work with confidential information. The successful applicant will have several years’ experience as an administrative assistant, confidential assistant, and/or equivalent experience, and be proficient with Microsoft Office. Trade union experience and experience working for a trade union are an asset.

Term

This is a full-time probationary position that will begin in the fall of 2026. There will be a sixty (60) day probationary period, including a mid-probation review by the Executive Director. Some on-the-job training will be provided to ensure the successful candidate excels in their work.

Compensation

Compensation will be commensurate with experience, ranging from $45,000 to $60,000 per year, along with health and other benefits, including:

  • Prescription drug coverage;
  • Vision care;
  • Dental care;
  • Some professional services, including chiropractic, physiotherapy, and massage therapy;
  • a Defined-Benefit (DB) pension plan, with contributions coming from both the employee and employer;
  • Life insurance; and
  • Short term and long term disability insurance.
